1. Introduction
BatchHive ("BatchHive", "we", "us", or "our") respects your privacy. This Privacy Policy explains how we collect, use, store, share, and protect personal data when you use our websites and services at batchhive.com (the "Platform").
We process personal data in accordance with applicable Indian law, including the Digital Personal Data Protection Act, 2023 ("DPDPA") and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, as applicable.
By using the Platform, you acknowledge this Privacy Policy. Where consent is required by law, we will obtain it separately or through in-product notices.
2. Roles: who is responsible for what
BatchHive acts in different roles depending on the data:
- For your account, login, marketplace activity, payments you make through the Platform, and support requests, we generally act as the data fiduciary.
- For student and parent information entered by a coach or academy into their workspace, that coach or academy is responsible for having a lawful basis to collect and use the data; we process it on their instructions to provide coaching-management features.
- For payment processing, SMS delivery, email delivery, hosting, and similar infrastructure, we use third-party processors under contractual safeguards.
Academy customers may request information about our data processing practices by emailing privacy@batchhive.com.
3. Information we collect
Depending on how you use the Platform, we may collect:
- Identity and contact data — name, mobile number, email address, profile photo, city, area, and address details you provide.
- Account and workspace data — coach or academy profile, certifications described in text, team roles, workspace settings, and marketplace visibility preferences.
- Student and parent data — names, phone numbers, batch assignments, attendance, dues, receipts, enrollment details, and progress notes entered by coaches or submitted during enrollment, trial booking, or student portal access.
- Booking and activity data — trial requests, event registrations, facility bookings, reviews, and related messages or notes.
- Payment and transaction data — amounts, payment status, Razorpay payment identifiers, receipt metadata, refund status, and platform service fee amounts. We do not store full card numbers; card and UPI processing is handled by our payment partner.
- Communications — support emails, notification delivery logs, and OTP verification events.
- Technical and usage data — device type, browser, IP address, timestamps, pages viewed, referral URLs, crash reports, and security logs.
- Location data — city, area, venue address, and map coordinates derived from addresses you enter or select through map services.
- User-generated content — profile descriptions, photos, reviews, and event or venue listings.
You may choose not to provide certain information, but some features (such as OTP login, online payment, or trial booking) will not work without it.
4. How we collect information
- Directly from you when you register, complete a profile, book a trial, pay online, enroll, or contact support.
- From coaches, academies, or organizers who add student or participant information to their workspace.
- Automatically through cookies, server logs, and similar technologies when you browse or use the Platform.
- From service providers such as payment gateways, SMS gateways, email providers, and error monitoring tools.
5. How we use information
We use personal data to:
- Create and secure accounts, including OTP verification.
- Provide coaching operations features — students, batches, attendance, dues, receipts, reminders, and workspace collaboration.
- Operate marketplace discovery, public profiles, trials, events, and facility booking.
- Process online payments, generate receipts, and maintain transaction records.
- Send transactional emails and SMS (login OTP only for SMS, unless you separately opt in where offered).
- Provide customer support and respond to grievances.
- Monitor performance, prevent fraud, enforce our Terms, and protect Platform security.
- Improve features, analyze aggregated usage, and develop new services.
- Comply with legal, tax, audit, and regulatory obligations.
Student data entered within a coach or academy workspace is used to provide services to that workspace. We do not use identifiable student workspace data for unrelated marketing without a separate lawful basis and, where required, consent.
6. Legal bases for processing
Under applicable Indian law, we rely on one or more of the following, as relevant:
- Performance of a contract — to provide the Platform and process bookings or payments you request.
- Consent — where required for optional communications, certain profile visibility choices, or other features that request consent in the product.
- Legitimate uses permitted by law — such as security, fraud prevention, service improvement, and network integrity, where consistent with DPDPA.
- Legal obligation — for record-keeping, tax, or lawful requests from authorities.
7. How we share information
We do not sell your personal data.
We may share personal data with:
- Coaches, academies, organizers, and venues — when you book, enroll, pay, or otherwise interact with their listing or workspace.
- Payment partners — currently Razorpay, to process online payments, refunds, and settlement reporting.
- SMS provider — currently MSG91, for login OTP and other SMS where enabled.
- Email provider — currently Resend, for transactional emails such as receipts, reminders, and booking updates.
- Cloud infrastructure — hosting, database, file storage (including AWS S3 and CDN), and background job providers used to run the Platform.
- Maps provider — Google Maps Platform, for address autocomplete, geocoding, and map display where used.
- Monitoring providers — such as Sentry, for error and performance diagnostics.
- Professional advisers and authorities — when required for legal compliance, dispute resolution, or protection of rights and safety.
- Business transfers — in connection with a merger, acquisition, or asset sale, subject to continued protection consistent with this policy.
Public marketplace profiles, academy pages, event listings, and venue listings may display information you choose to publish, such as name, sport, city, photos, and descriptions.
8. International and cross-border processing
We primarily store and process data using service providers selected for reliability and security. Some providers may process data outside India. Where cross-border transfer is involved, we take steps required under applicable law, including contractual protections where applicable.
9. Data retention
We retain personal data for as long as your account is active or as needed to provide the Platform, resolve disputes, enforce agreements, and meet legal obligations.
- Account and workspace records are kept while the account remains open and for a reasonable period afterward.
- Transaction and payment records may be retained longer where required for tax, audit, fraud prevention, or legal compliance, sometimes in anonymized or minimized form.
- Security and server logs are retained for a limited period appropriate to their purpose.
- Backup copies may persist for a short additional period before deletion.
10. Security
We use administrative, technical, and organizational measures designed to protect personal data, including access controls, encrypted transport (HTTPS), role-based permissions, workspace data isolation, and monitoring for abuse. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
11. Your rights and choices
Subject to applicable law, you may have the right to request access to, correction of, or erasure of your personal data; withdraw consent where processing is consent-based; and raise a grievance regarding our processing.
To exercise these rights, email privacy@batchhive.com from the address or phone number associated with your account. We may need to verify your identity before responding.
You may request a portable export of your account data where technically feasible. You may request account deletion; if approved, we will delete or anonymize personal data except where retention is required by law (for example, financial records).
If you believe a coach or academy holds incorrect student information about you, contact them directly; we will assist where we can verify your identity and the relevant workspace link.
12. Grievance redressal
If you have a privacy concern or complaint, contact our grievance contact:
Email: privacy@batchhive.com
Subject line: "Privacy grievance"
We aim to acknowledge grievances within 7 business days and resolve them within timelines required by applicable law.
13. Children and students
The Platform is used by coaches and parents in connection with minor students. We do not knowingly allow children under 18 to create coach, academy, or organizer accounts.
Student personal data is typically provided by a coach, academy, parent, or guardian. If you believe we have collected a child's personal data without appropriate authority, contact privacy@batchhive.com and we will review promptly.
14. Cookies and similar technologies
We use cookies and similar technologies to keep you signed in, remember preferences, measure usage, and protect the Platform. Essential cookies are required for core functionality such as authentication. You can control non-essential cookies through your browser settings, though some features may not work correctly if you disable them.
15. Marketing communications
We may send product updates or tips by email where permitted. You can opt out of non-essential marketing emails using the unsubscribe link in those messages or by contacting privacy@batchhive.com. Transactional messages about payments, bookings, security, and account activity may still be sent.
16. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will change when we do. Material changes may also be communicated in the app or by email where appropriate. Continued use after an update means you acknowledge the revised policy.
