Terms of Service

Last updated: August 31, 2026

1. Agreement

These Terms of Service ("Terms") govern access to and use of the websites, mobile experiences, and related services operated by BatchHive ("BatchHive", "we", "us", or "our") at batchhive.com and associated subdomains (collectively, the "Platform").

By creating an account, signing in, booking a trial, paying a fee, enrolling in a batch, registering for an event, booking a facility, or otherwise using the Platform, you agree to these Terms and our Privacy Policy. If you do not agree, do not use the Platform.

If you use the Platform on behalf of an academy, venue, or other organization, you represent that you have authority to bind that organization to these Terms.

2. What BatchHive is

BatchHive is a technology platform for independent coaches, academies, venues, students, and parents in India. We provide tools to manage coaching operations — including students, batches, attendance, dues, receipts, trials, events, facility bookings, and marketplace discovery — and optional online payment collection through third-party payment partners.

BatchHive is not a coaching institute, employer of coaches, sports governing body, or guarantor of coaching quality. Coaches, academies, event organizers, and venue operators are independent service providers responsible for the services they offer.

3. Who may use the Platform

  • You must be at least 18 years old to create a coach, academy, venue, or organizer account.
  • Parents or legal guardians may use the Platform on behalf of a minor student, including booking trials, paying fees, and accessing the student portal where available.
  • Coaches and academies must provide accurate profile, certification, and contact information and must only enter student data they are legally permitted to collect.
  • You must provide a valid Indian mobile number for OTP verification and keep your account information current.

4. Account registration and security

Access to most features requires phone-based one-time password (OTP) verification. You are responsible for safeguarding your device and session, for all activity under your account, and for promptly notifying us of unauthorized use at support@batchhive.com.

We may suspend or terminate accounts that violate these Terms, pose a safety or fraud risk, or remain inactive for an extended period after notice where required by law.

5. Platform roles

Depending on how you use the Platform, you may act as:

  • Coach or academy owner — manage students, batches, attendance, dues, public profiles, and team members.
  • Student or parent — view schedules, dues, receipts, enrollments, bookings, and trials linked to your phone number.
  • Event registrant or facility booker — register for paid or free events and book venue slots where enabled.
  • Marketplace visitor — browse public coach, academy, event, and venue listings without an account.

Workspace data entered by a coach or academy about their students is controlled by that workspace for coaching purposes, subject to our Privacy Policy and applicable law.

6. Marketplace listings and approvals

Public profiles, marketplace search results, events, and venues may require review or approval before they are visible. We may reject, hide, edit requests for, or remove listings that are incomplete, misleading, unsafe, unlawful, or harmful to Platform trust.

Listing on the marketplace does not constitute endorsement, verification of credentials beyond what we explicitly display, or a guarantee of availability, pricing, or outcomes. You should evaluate coaches, academies, venues, and events independently before enrolling or paying.

7. Free core features and paid plans

Core coaching operations — including students, batches, attendance, manual or cash payment recording, basic receipts, and a public profile — are offered free unless we state otherwise in the product.

Optional paid plans (such as Pro for individual coaches and Academy for multi-coach organizations), marketplace add-ons, and other premium features may be offered from time to time. Applicable prices, billing intervals, and feature limits are shown in the app at the time of purchase. Paid plans renew according to the billing terms shown at checkout unless cancelled before renewal.

We may change plan pricing or features for future billing periods with reasonable notice where required by law. Changes do not retroactively affect an already-paid current term unless permitted by applicable consumer rules.

8. Online payments and service fees

When you pay online through a BatchHive pay-link, batch enrollment checkout, event registration checkout, or facility booking checkout, payment is processed by Razorpay or another authorized payment partner. By completing checkout, you also agree to the payment partner's terms where applicable.

For online collections facilitated through the Platform today, BatchHive acts as the payment facilitator and merchant of record on the payment partner account for the total checkout amount. The charge may include:

  • Base amount — the coaching fee, enrollment fee, event fee, facility fee, or other amount owed to the coach, academy, organizer, or venue operator as shown at checkout.
  • Service fee — an optional flat and/or percentage fee charged to the payer on top of the base amount when enabled. It is disclosed as a separate line item before payment.
  • Payment gateway costs — charged by the payment partner according to its schedule.

Unless we state otherwise at checkout, the coach, academy, or beneficiary receives credit in the Platform for the full base amount; the service fee is not deducted from the base amount owed to them. We may change settlement mechanics in the future (for example, direct split payouts to linked beneficiary accounts) without changing the payer-facing disclosure requirement.

During soft launch or promotional periods, the service fee may be set to zero. When enabled, the exact fee is always shown before you confirm payment.

Cash, direct UPI outside the Platform, or other offline payments recorded in the Platform are not processed by BatchHive and are not subject to the online service fee.

9. Refunds, chargebacks, and disputes

Refund eligibility for coaching fees, enrollments, events, and facility bookings is determined by the coach, academy, organizer, or venue operator whose service you purchased, except where applicable law requires otherwise. Contact them first for service-related disputes.

If an online payment fails, is duplicated, or was made in clear error, contact support@batchhive.com with the payment reference. Approved refunds are processed through our payment partner; timing depends on your bank or UPI provider.

Once successfully collected, the service fee (if any) is generally non-refundable except where required by law or where the entire underlying transaction is refunded due to platform or payment error.

Chargebacks and payment reversals may result in adjustment of ledger entries, suspension of pay-link access, or account review.

10. Coach, academy, and organizer responsibilities

  • Deliver the coaching, event, or facility services you advertise and honor published prices, schedules, and cancellation rules.
  • Obtain any legally required permissions, insurance, safety measures, and parental consent before working with minors.
  • Collect and use student and parent personal data only for legitimate coaching or booking purposes and in compliance with applicable law.
  • Issue your own tax invoices or receipts where you are legally required to do so for your services. Platform-generated receipts document payment flow through the Platform and do not replace your statutory tax obligations unless explicitly stated.
  • Comply with GST, income tax, and other applicable Indian laws for fees you collect.
  • Do not use the Platform to harass users, discriminate unlawfully, misrepresent qualifications, or circumvent Platform fees through deceptive off-platform payment instructions where online payment is offered.

11. Student and parent responsibilities

  • Provide accurate contact and enrollment information.
  • Review coach, academy, event, and venue details before booking or paying.
  • Use pay-links and checkout pages only for legitimate payments you authorize.
  • Supervise minors under your care and ensure trial, training, event, and venue participation is appropriate for the child.

12. Acceptable use

You agree not to:

  • Violate any applicable law or third-party rights.
  • Upload malware, scrape the Platform without permission, or attempt unauthorized access.
  • Post false, defamatory, obscene, or infringing content in profiles, reviews, or messages.
  • Impersonate another person or create duplicate or fraudulent listings.
  • Interfere with Platform security, payment flows, or other users' experience.
  • Use student or payment data for spam, resale, or unrelated marketing without consent.

We may investigate violations and cooperate with law enforcement where required.

13. User content and reviews

You retain ownership of content you submit (profile text, photos, reviews, and similar material). You grant BatchHive a non-exclusive, worldwide, royalty-free license to host, display, reproduce, and distribute that content solely to operate, promote, and improve the Platform.

You represent that you have the rights to content you upload and that it does not violate these Terms. We may remove content that violates law or these Terms.

14. Communications

We send account, payment, booking, and security communications by email and, for login OTP only, SMS. BatchHive sends important updates by email. SMS is used only for login OTP.

Message and data rates from your carrier may apply. You can manage non-essential communications where the product provides controls; transactional messages related to your account or payments may still be sent.

15. Third-party services

The Platform integrates with third-party services such as payment gateways, SMS providers, email delivery, cloud hosting, maps, and error monitoring. Your use of those services may be subject to their separate terms and privacy policies. We are not responsible for third-party services we do not control.

16. Intellectual property

The Platform software, branding, design, and documentation are owned by BatchHive or its licensors and are protected by applicable intellectual property laws. These Terms do not grant you any right to use our trademarks except as necessary to use the Platform in accordance with these Terms.

17. Disclaimers

The Platform is provided on an "as is" and "as available" basis. To the fullest extent permitted by law, we disclaim warranties of merchantability, fitness for a particular purpose, and non-infringement.

We do not guarantee uninterrupted service, error-free payment processing, marketplace ranking, student enrollment levels, or coaching outcomes. Coaching, sports, and physical activities involve inherent risk; participants and parents assume those risks with the service provider.

18. Limitation of liability

To the fullest extent permitted by applicable law, BatchHive and its directors, employees, and affiliates will not be liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, data, goodwill, or business opportunity arising from your use of the Platform or any coaching, event, or venue service booked through it.

Our aggregate liability for any claim relating to the Platform will not exceed the greater of (a) the total service fee and subscription fees you paid to us in the three months before the event giving rise to the claim, or (b) INR 5,000, except where liability cannot be limited under applicable law.

19. Indemnity

You agree to indemnify and hold harmless BatchHive from claims, losses, and expenses (including reasonable legal fees) arising from your use of the Platform, your content, your coaching or booking services, your breach of these Terms, or your violation of law or third-party rights.

20. Changes to the Platform and Terms

We may modify features, pricing, or these Terms from time to time. Material changes will be posted on this page with an updated date and, where appropriate, notified in the app or by email. Continued use after changes become effective constitutes acceptance of the revised Terms.

21. Governing law and disputes

These Terms are governed by the laws of India. Courts in Bengaluru, Karnataka shall have exclusive jurisdiction, subject to any mandatory consumer protection forum available to you under applicable law.

Before filing a formal claim, please contact legal@batchhive.com so we can try to resolve the issue informally.
